Who We Are

The Riverdale Curling League (the “League”) is an unincorporated association of members, operated without intent of pecuniary gain, organized under the name “Riverdale Curling League” and based in Toronto, Ontario. We operate the website at toronto.pridecurl.ca, including the members-only portal at /members/.

We are responsible for the personal information under our control. The President is accountable for this policy and for the League’s handling of personal information.

What Personal Information We Collect

1. Waivers (Signed Before Playing)

  • Your name, phone number, digital signature, and date signed
  • Confirmation that you reviewed Ontario’s concussion awareness resources, as required by Rowan’s Law (Concussion Safety), 2018
  • Whether you played last season (to identify returning members)

2. Member Registration

  • Your name and email address
  • Your team name and playing position (Skip, Vice, Second, Lead, Fifth Player)
  • Any additional details requested on the seasonal registration form

3. Spare Registration

  • Regular Spares: Name, email address, preferred playing positions, and a short description of your curling experience in your own words. An experience level (Novice, Beginner, Intermediate, or Advanced) is assigned by the Executive based on your description. You may choose whether your email is visible on the public spare list.
  • Guest Spares: If you play as a guest spare in a single game, the team Skip submits your name and email address so we can send you a waiver to sign prior to play.

Note: We do not collect your date of birth, and we do not collect or store credit card or payment card numbers.

Why We Collect It

We use your information strictly for the following operational purposes:

  • League Administration: Managing registration, team lists, game draws, scores, and standings.
  • Communication: Contacting you regarding schedules, results, weather cancellations, and league announcements.
  • Returning Member Priority: Under By-Law A(f), returning players from the previous season receive registration priority. Keeping the prior season’s roster is done solely for this purpose.
  • Safety & Compliance: Verifying signed waivers and mandatory concussion-awareness confirmations required by Rowan’s Law.
  • Conduct Oversight: Handling formal conduct reports under By-Law G.
  • Facility Coordination: Booking ice times and coordinating games with the Royal Canadian Curling Club.

We do not use your information for commercial marketing, and we never sell, rent, or trade member data.

Where Your Information Is Held

  • Google: Registration details and waivers are collected using Google Forms and stored securely within the League’s Google Workspace account, subject to Google’s Privacy Policy. Forms are protected against automated spam via Google reCAPTCHA.
  • Website Database: Registration data is automatically synced to our website database hosted by Rebel.com (532 Montreal Rd, Suite 261, Ottawa, ON K1K 4R4). Score submissions, spare lists, and active rosters are stored exclusively on this secure website database and are included in Rebel.com’s routine backups.

Photos and Video

By signing our waiver, you agree to our Media & Photography Consent: the League may take photos and video at league activities for promotional, marketing, or website purposes. Agreement to this consent is required to play in the League and cannot be individually withdrawn.

  • General Atmosphere Photography: Wide-angle shots of the ice, crowd reactions, and general background action showcase the League’s social environment and teams.
  • Close-ups, Awards, & Team Portraits: When you are the primary subject of a photo, we will be collecting a dedicated consent if we want to use it on any promotional materials.

We operate a Frictionless Takedown Policy. If you appear prominently in a photo or media clip and prefer it not be published, email riverdale@pridecurl.ca. We will do our best effort to crop or remove the image within 48–72 hours, no questions asked. This policy applies to media from any season.

Who We Share It With

We share personal information strictly on a need-to-know basis with:

  1. Royal Canadian Curling Club (RCCC): Shared for ice bookings, facility safety, and joint investigation of conduct complaints involving club premises or staff (under By-Law G).
  2. Payment Processors: If third-party tools are used for dues collection, transactions occur directly on the processor’s platform (see Payments below).
  3. League Transition / Dissolution: If the League were ever dissolved, By-Law E requires cooperation with RCCC to transition members. Member information would transfer to the Club solely for that purpose.

We do not disclose your information to any other external parties unless required to do so by law.

Conduct Complaints

If you submit a conduct report under By-Law G, your identity remains confidential within the Executive Committee. It will not be disclosed outside the Executive without your permission, except as strictly necessary to investigate the matter (e.g., discussions with the respondent or relevant RCCC facility staff).

Reports should be directed to an Executive member or sent to riverdale@pridecurl.ca.

Age of Majority

Riverdale Curling League is open exclusively to adults aged 18 and older. We do not accept registrations or waivers from minors, nor do we maintain a parental consent process. By signing the waiver, players confirm they are of legal age in Ontario.

How Long We Keep It

Most general records (rosters, draw schedules) are retained for the current season and deleted at the end of the following season to fulfill the 1-year lookback requirement for returning member priority. Spare lists are cleared at the end of every season.

Payments

League dues are established annually by the Executive (By-Law A). When third-party payment processors are utilized:

  • You initiate the payment directly through an authorized link.
  • The League receives only a confirmation notice of successful payment.
  • Payment details are handled by the processor’s independent privacy policy.
  • The League never sees or stores payment card numbers.

Member Portal & Cookies

The /members/ portal uses strictly necessary session cookies to maintain your login status. No analytics or tracking cookies are used on this website.

Privacy Framework & Your Rights

As a non-profit recreational organization, the League’s primary social and athletic activities are not commercial in nature and are not subject to the federal Personal Information Protection and Electronic Documents Act (PIPEDA). However, we voluntarily adopt recognized Canadian privacy principles as a matter of good governance and transparency. You may request to:

  • Access the personal information we hold about you.
  • Correct any factual inaccuracies in your records.
  • Delete your personal information, subject to the statutory retention windows listed above.
  • Withdraw consent for non-essential communications (note that valid waivers and concussion confirmations remain mandatory for active play).

To make a privacy request, please email riverdale@pridecurl.ca. We aim to acknowledge and address all requests within 30 days.
